Congratulations! You’ve completed your course, now what?
This section will take you through what happens after you finish your last subject, when you need to apply for your official academic transcript and parchment and the process for obtaining a nested award (i.e. obtaining your interim GCM or GDM award).
There are several key policies and procedures which you should refer to. These are:

So, what happens next?
We will be taking steps to make sure that you have completed the requirements to be conferred with your award, and this can take a little time. In 7-10 days from the release of your final subject result, you’ll receive an email advising that everything checks out and you are being added to the conferral list for ratification at the next award approval meeting (head to the AIB award approval cut-off dates for the meeting dates). This email will outline the date of the session you’ve been added to and will also provide an anticipated date of posting of your parchment and academic transcript.
Once the award approval meeting has taken place and your award ratified, you will receive confirmation that you are now officially an AIB Graduand. You can now tell everyone of your amazing achievement; you don’t need to wait for your parchment or to attend graduation to do so.
Important points
- Students with outstanding payments will not be added to the conferral list for ratification until full payment of the course fee is received.

When you complete your qualification, you will receive two pieces of documentation (an academic transcript and a parchment). Both provide different information and are used for different purposes, but both are essential in confirming your achievement. So please keep them both safe.
Terminology spotlight:
Nested awards – these are interim awards which you can obtain on the way to gaining a higher award, for example gaining a Graduate Certificate of Management (GCM) or a Graduate Diploma of Management (GDM) on your way to obtaining your Master of Business Administration (MBA), these two ‘lower’ awards are called nested awards.

How can I obtain one? | You can generate and download a printable, PDF version of your unofficial academic transcript from your My Results page at any time (it’s always available).

Important points
- Academic transcript: It’s important to note that if you withdrew from a subject (either before or after the Census date) or obtained a Medical/Compassionate grade for a subject, then these will also appear on your academic transcript. Please refer to the Withdrawal and Deferral Procedure for a detailed breakdown of what’s included on your academic transcript.
- For nested awards, the timing of your request is crucial. Please refer to the ‘when is the cut-off for applying my parchment and academic transcript and how long it will take to receive them’ article within this Student Handbook.

If you need additional documentation as confirmation of your achievement and your unofficial academic transcript is not sufficient for this purpose, for example applying for a new position or promotion, enrolling into further study or immigration, then please contact our Student Central team.

You will need to apply for your award by the award cut-off date listed within the AIB award approval cut-off dates document. As timing is crucial in the award process, we recommend that you apply as soon as you become eligible to avoid disappointment.
You can decide to be presented with your documentation at graduation or to have them posted to you. If you have chosen to be presented with your documentation at graduation, AIB will keep them for you until then.
If you’d prefer to have them posted to your nominated address, it is estimated that the parchments and transcripts will be ready to be posted approximately 1 month* after each award approval month.
*Please note that this is an estimate and unanticipated delays may occur.
Applying for a nested award? Timing is everything!
If you are applying for a nested GCM or GDM award (i.e. you will be continuing with the program), the timing of your request is crucial as you will only be issued with the award you are eligible for at the time of the award approval cut-off date. This means that if you request your Graduate Certificate in Management (GCM) but as of the award approval cut-off date you are eligible for a higher award (Graduate Diploma in Management (GDM)), then you will be issued with that higher award (GDM). You will need to complete the Request for Parchment and/or Transcript form and return it to our Student Central team by the award cut-off date.
Important points:
- You are eligible to obtain a Graduate Certificate in Management (GCM) after completion of 4 core subjects, a Graduate Diploma in Management (GDM) after completion of 8 subjects (including at least 4 core subjects) and a Master of Business Administration (MBA) after completion of 12 subjects.
- Once you become eligible for a higher nested award (i.e. GDM), you can no longer request for the lower nested award (i.e. GCM). Once you complete your course you will no longer be eligible for any nested award.
- You will only be issued with a specialised MBA if you are enrolled into the appropriate course and have completed the appropriate subjects.
- If you have completed your award, you do not need to complete the Request for Parchment and/or Transcript form. Once your completion has been fully processed, you will be sent an email guiding you through your next steps towards graduation.
- If you are applying for an nested award (Graduate Certificate of Management (GCM) or Graduate Diploma of Management (GDM)), you must complete the Request for Parchment and/or Transcript form and return it to a member of our Student Central team by the award cut-off date.
- All award applications not processed by AIB by close of business on the specified cut-off date will be deferred to the next award approval meeting. It’s important to be aware that all fees must also be paid by the cut-off date.
- You will only be issued with or conferred your award, parchments and transcripts upon payment of all outstanding fees (including the payment of course fees, such as fees that are payable under a Direct Debit Contract).

If you have completed your course, there is no charge to obtain your award and you do not need to complete the Request for Parchment and/or Transcript form. Once your completion has been fully processed, you will be sent an email guiding you through your next steps towards graduation.

We know that once you have completed your course, you will want to show of your achievement. Once your award has been validated and officially approved, we aim to get the ball rolling and the parchments and transcripts on their way to you as quickly as possible. As all documents are approved at each Academic Board, they are produced and posted at the same time. If you have an extenuating circumstance which requires us to post your documents earlier, please contact a member of the Student Central team who will be happy to help.
It’s important to note that we are not able to post any documentation including parchments, until the Academic Board has officially approved your award.
Print your own unofficial academic transcript
Did you know that you can print an unofficial academic transcript? Head over to your My Results page within the learning portal. This document lists all subjects you have enrolled in, their associate grade and your current Grade Point Average (GPA). Your unofficial academic transcript is always available, and you can print it at any time.

If you have lost or damaged your academic transcript and/or parchment and need a replacement, the best course of action is to contact a member of our Student Central team and they will walk you through the process of obtaining a replacement.
Important points:
- If you have lost or misplaced either your parchment or your academic transcript, you will need to complete and return the AIB Statutory Declaration Form before we can issue you with a replacement.
- If your Parchment is damaged, you will need to return your damaged document to us before we can issue you with a replacement. If your academic transcript is damaged, we do not need this to be returned
- The cost associated with obtaining replacement documents is as follows:
- A replacement parchment is AU$100 + postage (AU$20, if within Australia or full postage fee as quoted by our courier, if outside of Australia)
- A replacement academic transcript is AU$25 for the 1st copy and AU$10 per succeeding copy of the transcript within the same request + postage (AU$20, if within Australia or full postage fee as quoted by our courier, if outside of Australia)
